Scaling Fintech Operations: 4 Processes Streamlined

A fintech company had used inefficient processes based out of Google Sheets for 3+ years, and the poor quality of the critical compliance data stored in these sheets were causing agents and analysts alike to spend way too much time completing inefficiently designed tasks and conduct analyses with unreliable data.

Challenges

How can we create more efficient processes for our agents to follow?

How can we ensure the data will continue to be high quality in this new process?

How can we clean and organize the historical data from this process?

Key Results

Sunsetted 7 Google Sheets and accompanying processes that were responsible for critical compliance data

Cleaned and organized 100,000+ rows of data for historical upload into ERP

Consolidated and created 4 operational processes with documentation to streamline agent workflow as they transitioned into ERP

Full tracking and data validation & integrity rules are implemented to ensure future process adherence

Value to Business

Scalable infrastructure was put into place ending agents and analysts entering and working with critical compliance data stored in these 7 Google Sheets. Data integrity and quality improved immensely, as 50,000+ values in the 100,000 rows of data were corrected, and the ERP’s data adherence checking ensures no more data validation errors will occur. Agents are able to work more quickly, and analysts are able analyze data without worrying about its quality.

For each of the 7 Google Sheets, with their own nuances, we did the following:

  1. Communicate with all stakeholders involved to create a detailed, written transition plan and timeline

  2. Collaborate with engineering teams to test and implement the new fields within the ERP

  3. Ingest and clean the data from the Google Sheet to prepare it for upload into the ERP

  4. Evaluate and prepare deployments to avoid interruptions to downstream automations with the changing data source

  5.  Execute the transition within a tight timeframe to ensure little to no impact to regular operations

  6. Document and monitor the post-transition to ensure smoother operations
